Exhibition Stand Design Process: 7 Steps from Brief to Delivery

An exhibition stand goes through 7 clear steps from receiving the brief to post-exhibition dismantling: needs analysis, 3D design, approval and engineering, production, shipping/customs, installation, and post-exhibition dismantling. The process usually takes 3-6 weeks; accelerated production is possible for urgent requests.

1. Needs Analysis (Brief)

The process begins with clarifying the exhibition name, date, stand area (m²), budget range, and brand objectives. At this stage, reference visuals, brand identity guidelines, and priority functions (meeting area, storage, presentation corner, etc.) are shared if available.

2. 3D Design

Based on the brief, the stand is designed with realistic 3D renders. At this stage, materials, colors, lighting, and traffic flow are visually clarified; the design is refined through revision rounds until it fully matches the brand's expectations.

3. Approval and Engineering

After the design is approved, technical drawings, static calculations (especially for double-story structures), and a material list are prepared. Compliance with the exhibition venue's technical specifications (height limit, load capacity, electrical infrastructure) is checked at this stage.

4. Production

The approved technical file is transferred to the workshop for production. Wood cutting, coating, painting, electrical installation, and assembly proceed in sub-groups; quality control continues at every stage.

5. Shipping and Customs

For domestic exhibitions, standard shipping is planned, while for international exhibitions, customs documents (ATA Carnet if required), insurance, and logistics rules at the destination (see the exhibition venue's mandatory carrier policy) are managed at this stage.

6. Installation

The stand is assembled on-site within the installation window defined by the exhibition venue. Electrical, lighting, and graphic applications are completed with a final check; the stand is delivered complete before the exhibition opening.

7. Post-Exhibition Dismantling

After the exhibition, the stand is dismantled within the dismantling window set by the venue. Materials are stored for use at the next exhibition, returned, or (in modular systems) separated for reconfiguration.

How Long Does the Process Take?
